Set Up Your School's Box Office

Why UK schools choose Your Box Office

From the school production to the summer concert, ticketing without the queue at the office door

Selling tickets for a school play used to mean paper ticket books, cash in envelopes and a queue at reception. With Your Box Office, parents book online at any time, pay securely, and receive e-tickets straight to their phone — while your office keeps full control of seating, allocations and reporting. Schools across the UK use it for musicals, nativities, concerts, dance showcases, proms and parents' events.

ParentPay built in

Parents pay through the platform they already use and trust, and ticket money lands directly in your school's ParentPay account. Card, Apple Pay and Stripe payments are supported too.

Fair ticket allocation

Limit tickets per family for oversubscribed shows, keep events unlisted so only your school community can book, and release extra seats performance by performance.

Less admin for the office

Live sales reports show seats sold and revenue per performance. Office staff can allocate seats for phone or in-person bookings and record cash payments — no more reconciling envelopes.

What it costs a school

No monthly fees and no booking fees added to parents' tickets. A single production — unlimited performances — is £90 +VAT. Running shows all year? Annual plans go up to unlimited events for £400 +VAT, or choose Pay As You Go with no upfront cost at a flat 4.5% + 20p per transaction. See the full pricing on our sell tickets page.

A worked example: the two-night school play

Say your school stages its play over two evenings and sells 400 tickets at £8 — £3,200 in ticket sales. Families typically book three or four seats at a time, so that is roughly 130 bookings. Card processing at 2.7% + 20p per transaction comes to about £110, and the Starter plan covers the whole production — both nights — for £90 +VAT. All-in, the school pays around £220, under 7% of ticket revenue, and parents pay exactly the ticket price you set: no booking fee is ever added at checkout. Prefer nothing upfront? On Pay As You Go the same production costs about £170 in transaction fees and not a penny before the first ticket sells. Either way, the money arrives as tickets sell — not weeks after the curtain call.

Figures are illustrative; card processing varies slightly with basket size.

Up and running in an afternoon

A school ticketing system shouldn't need an IT project — three steps and you're selling

1. Set it up in an afternoon

Create your school's box office, add the production and its performances, and choose a seating plan of your hall or simple unreserved entry. Set ticket prices, concessions and a per-family limit — a free period is genuinely enough time.

2. Share the booking link

Drop the link into ParentMail, the school newsletter or the parents' Facebook group. Parents book from the sofa and pay by card, Apple Pay or ParentPay — while the office can still take phone bookings for grandparents without email.

3. Relax on show night

Check e-tickets at the hall door — on paper or a parent's phone screen — with a live list of exactly who has booked which seats. The money is already in the school's account, and the sales report for the head is one click.

Not just the school play — PTA events too

The same box office works for everything your PTA runs through the year: school discos, Christmas fairs, quiz nights, bingo evenings and summer fetes. Selling tickets online in advance means the PTA knows exactly how many pizzas to order for the disco and how many tables to set for the quiz — and nobody spends the evening counting a cash float. Per-family ticket limits keep oversubscribed discos fair, e-tickets cut the queue at the door, and the PTA treasurer gets an instant report of every penny raised, paid straight into the right account. When the spring production comes around, the same school account is ready to sell tickets for the school play too.

And because school events are for the school community, not the general public, you stay in control of who can book: keep an event unlisted so only families with the link can find it, cap tickets per family while demand settles, and release more seats closer to the night. Whether it's the nativity, the Year 6 leavers' show, the summer concert or the PTA quiz, the booking data stays in one place — no spreadsheets going home in book bags, and nothing for the office to chase on the morning of the show.

School ticketing — your questions answered

How do parents pay for school event tickets?

Parents book online 24/7 and pay by card, Apple Pay, or through ParentPay — the payment platform most UK schools already use. Ticket money goes directly to the school, and every booker receives an e-ticket by email.

What does school ticketing cost?

There are no monthly fees. A single production costs £90 +VAT with unlimited performances, annual plans cover multiple events, or Pay As You Go has no upfront cost at a flat 4.5% + 20p per transaction. No booking fees are added to parents' tickets.

Can we control who buys tickets for a school show?

Yes. You can limit tickets per family, keep events unlisted so only people with the link can book, and manage allocations per performance — useful for safeguarding and for making sure every family gets seats.

Can the school office take bookings by phone or in person?

Yes. Office staff see the live seating plan, can allocate seats instantly, and can record payment by cash or cheque, so families without cards are never excluded.
